Requirements

Documents Required for Car Transportation in India

Car transportation paperwork is lighter than most people expect. In the usual case a transporter needs to establish that the vehicle is yours and know exactly where it is going.

Normally required

  • Registration certificate (RC) copy or RC details
  • Owner identification proof
  • Pickup address with a named contact and phone number
  • Delivery address with a named contact and phone number
  • Vehicle make, model and registration number
  • Booking documentation issued by the transporter

Sometimes required, depending on the arrangement

  • An authorisation note if someone else hands over or receives the vehicle
  • Insurance policy copy where transit risk coverage is being arranged
  • Declared vehicle value for coverage purposes
  • Company or GST details for corporate and dealer bookings
  • Society or gated-community entry permission for the carrier
  • Additional paperwork for certain destinations or special handling requirements

Requirements vary — confirm yours

Exact requirements depend on the route, the ownership situation and the type of arrangement. A personal relocation is straightforward; a corporate movement, a leased vehicle or a vehicle handed over by a third party may need more. Ask at the time of quotation so nothing holds up pickup day.

Keep copies until delivery is complete

  • Your copy of the booking documentation
  • The pickup condition report
  • Your own dated photographs of the vehicle
  • Payment receipts
  • The delivery inspection record

Common questions

Do I need the original RC?

A copy or the RC details is normally sufficient. Keep original documents with you rather than in the vehicle.

Can someone else hand over the car?

Yes, with an authorisation note and their identification, confirmed with the transporter beforehand.

Should documents be left inside the car?

No. Carry documents separately; nothing of value should travel inside the vehicle.
